Astral Trips Co. – Terms and Conditions
1. Booking Confirmation:
- All bookings with Astral Trips Co. are considered confirmed once a non-refundable deposit is paid by the customer. The balance payment is due 30 days before the departure date unless otherwise stated.
- Bookings made within 30 days of the departure date require full payment at the time of booking.
2. Payment Terms:
- Payments for bookings can be made via bank transfer, credit card, or other approved payment methods.
- All payments must be made in the currency specified at the time of booking. The company reserves the right to charge additional fees for processing payments made via credit card or other online payment methods.
3. Cancellations and Refunds:
- Cancellations made 30 days or more before the departure date will receive a full refund minus the non-refundable deposit.
- Cancellations made less than 30 days before the departure date will not be eligible for a refund unless otherwise agreed upon.
- No refunds will be provided in the case of no-show or early departure during the trip.
- Refunds, if applicable, will be processed within 7 to 14 working days.
4. Changes to Bookings:
- If a customer requests changes to their booking after confirmation, Astral Trips Co. will make reasonable efforts to accommodate such requests. However, change fees may apply, and availability cannot be guaranteed.
- In cases of unforeseen circumstances (e.g., political unrest, natural disasters), the company may suggest alternative arrangements or refunds.
5. Travel Insurance:
- It is highly recommended that all customers purchase comprehensive travel insurance covering trip cancellations, medical emergencies, lost baggage, and other potential issues.
- Astral Trips Co. is not responsible for any loss, injury, or damages during the trip and does not offer any insurance coverage.
6. Responsibilities of Customers:
- Customers must ensure that they have valid travel documents (passport, visas, etc.) for all trips.
- It is the customer’s responsibility to arrive on time for tours, transportation, and other scheduled activities.
- Customers should adhere to the local customs, laws, and regulations of the destination visited.
7. Health and Fitness:
- Customers should ensure that they are physically fit for the trip and activities planned (e.g., trekking, safaris, etc.).
- Customers must inform Astral Trips Co. in advance of any health conditions or special requirements (e.g., dietary restrictions, mobility issues) to ensure proper arrangements.
8. Liability and Indemnity:
- Astral Trips Co. will not be held responsible for any personal injury, illness, or loss of property during the tour. Customers participate in activities at their own risk.
- Customers agree to indemnify and hold Astral Trips Co. harmless against any claims, losses, or damages arising from their actions or negligence.
9. Force Majeure:
- Astral Trips Co. will not be held liable for delays, cancellations, or changes caused by events beyond our control (e.g., natural disasters, strikes, political unrest).
- In such cases, the company will make reasonable efforts to offer alternative arrangements or refunds, but cannot guarantee the same service or itinerary.
10. Complaints and Disputes:
- Any complaints regarding the tour should be raised with Astral Trips Co. during the trip, and we will attempt to resolve the issue promptly.
- Any legal disputes arising out of the tour will be governed by the india
11. Photography and Marketing:
- Astral Trips Co. reserves the right to use photos and videos taken during the trip for marketing and promotional purposes unless customers explicitly request not to.
- Customers consent to being photographed or filmed during the tour and agree that such material may be used in promotional materials.
Payments:
For all the services contracted, certain advance payment should be made to hold the booking, on confirmed basis & the balance amount should be paid before your departure from your location/country and before the commencement of the services. Management personnel hold the right to decide upon the amount to be paid as advance payment, based on the nature of the service & the time left for the commencement of the service.
Apart from above in some cases like Special Train Journeys, hotels or resorts bookings during the peak season (X-Mas, New Year), full payment is required to be sent in advance.
Mode of Payment:
All payments can be done either in cash, online payment systems like GooglePay, bank transfers or credit card. Payment by credit card are liable to 3% surcharge + GST by the payment gateway.
Cancellation Policy:
In case of cancellation of your tour by the company, you will get the refund of actual amount paid by you. If you cancel the tour, the cancellation charges will be applicable as per the below mentioned cancellation policy: (provided a written cancellation application is provided to the company)

Refund Policy:
Refunds will be processed and credited within 15 Working Days from the date of placing the tour cancellation request. Bank details to be provided at the time of applying for cancellation. There may be delays in refund in some cases where the vendor needs more time to process the cancellation. In case of any delay, we will duly notify the same to you.
Note:
Written cancellation will accept on all working days, except Sunday, Any cancellation sent on Sunday will be considered on next working day (Monday).
For unused hotel accommodation, chartered transportation & missed meals etc. we do not bear any responsibility to refund.
Cancellations will be done within 4-5 business days.
Wildlife Safaris Cancellation:
All the wildlife safaris booked into any of Indian Wildlife National Park/Sanctuaries are non refundable. Even date change request will be considered as cancellation and no payment will be refunded/ adjusted against it.
Our Liabilities & Limitations:
Please note that after the finalization of the Tour/ service Cost, if there are any Hike in entrance fees of monuments / museums, Taxes, fuel cost or guide charges – by Govt of India, the same would be charged as extra.
Astral Trips act only in the capacity of agent for the hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to terms & conditions under which these services are provided by them. Such documents are shared with the customer only before the trip commences/takes place and none of these documents will be shared on event of cancellation of the trip.
All itineraries are sample itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants’ safety, comfort & general well being.
Our rates are based on the prevailing rates as negotiated by us with the hotels, airlines etc. Hotels and Airlines retain the right to modify the rates without notice. In case of such changes the rates quoted before the modification, can be changed by us according to the modifications by hotels or airlines. All hotel bookings are based on usual check in and check out time of the hotels until unless indicated in the itinerary.
We shall not be responsible for any delays & alterations in the programme or expenses incurred – directly or indirectly – due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents.
We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting – directly or indirectly – from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.
We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements in their home country. All baggages & personal property/s at all times are at the client’s risk.
Other Questions:
1. Is the Registration amount refundable?
The Registration amount paid at the time of booking, is non refundable & interest free. However, to ensure your booking at given price & allowed discount, you need to pay the entire amount of initial deposit amount in stipulated time line.
2. Can I transfer my Refund amount to any other tour or to my friend’s or relative’s tour?
Yes, your refund amount is transferable to your other tour. In case, if you want your refund amount to be transferred to that your friend’s or relatives tour, we’ll need a duly signed Authority Letter from you.
3. Is my refund amount adjustable against any part – cancellation?
No, the refund amount is not adjustable against part cancellation.
4. How much time does it usually take to process a refund?
Ideally, it takes 4 – 5 working days to process refunds, once the guest agrees on refund amount. However, to derive the best amount of refund, it takes additional operational time to deal with airlines, hoteliers etc.
5. What is be the mode of payment in case of refund?
Ideally, the refund amount is credited using the same mode of payment that you had used to book the tour, the only exception in this case is if you had used Cash/Demand Draft in such case, the mode of payment for refund will be ‘Account Payee’ cheque only.
6. Are online refunds possible, if yes, what’s the process and who will bear the transaction cost?
Yes, online refunds are possible, if the booking was done online. If Astral Trips cancels the tour for whatsoever reason,then the entire tour cost will be refunded.
